ProLib: Library Management Software

ProLib has been developed by ProGen, a leading educational software development company based in Somerset West, South Africa.
The software was designed in consultation with experienced school Librarians
It was written by graduate Computer Scientists and is fully Windows, network and barcode compliant.

  • Easy to use comprehensive manual which presumes no previous knowledge.
    The manual is also available on-line and each screen has a hot key taking the user directly to the section of the manual pertaining to the screen being used.
  • Total subject cross-referencing, with "see" and "see also" references.
  • Each item is separately accessioned and fully cross-referenced to call numbers, subjects, authors, languages, series, illustrators, item types and materials.
  • Numeric and alphanumeric Accession Numbers are catered for
  • Multiple Titles, Authors, Categories, Series, Suppliers, Material Types, Languages and Illustrators can be defined for one item.
  • Items can be broken up into Short, Medium, and Long-term loan categories. Each member type can have different rules for each loan type in terms of loan period, extensions and number of allowed extensions.
  • Items can be put on a restricted issue list or ‘never to be issued’ lists.
  • Magazines and Periodicals are catered for.
  • A restriction list can be built up for a project that allows certain items to be reserved for a given period for any member, grade or class.
  • Automatic (but optional) fines on overdue items with automatic blacklisting of learners that exceed a certain fine level.
  • An extensive enquiry system allows a person to undertake their own enquiries without having access to those parts of the system that update data.
  • A year-end class promotion routine easily moves learners up and out of the school. Alternatively the member data can be updated from Excel.
  • An automatic correction routine allows the librarian to define a series of codes that should be replaced by one other. The routine automatically corrects every reference to the incorrect codes.
  • Members can be categorised under an unlimited number of groups.
  • Full control over Reservations, Issues, Returns and Extensions.
  • Automatic generation of Reservation letters to members.
  • A Fines and payments sub-system is included.
  • Bulk issues, returns, extensions, weeding and item deletions is catered for.
  • Reservations are controlled by item title.
  • Members can be blacklisted.
  • All the screens have extensive "lookup" and "help" facilities.
  • The loan period, and maximum issues/reserves is built into the system by the user.
  • Weeding of books is reflected in the Accessions Register.
  • Books in need of weeding or repair can be "marked" without removing them from the system.
  • The system caters for an automatic Return Date, which allows for holiday periods.
  • Extensive reporting covers every aspect of the Library. All the reports can be viewed or printed.
  • Wild card searches allow you to find any book even if part of the title is unknown.
  • Automatic loan statistics are kept per day, week, term and year.
  • A Book count facility reports on the number of each type of item in the Library per year accessioned.
  • A sophisticated stock taking facility, linked to the Returns System, allows you to do a rolling stock take at any time.
  • Stocktaking is simplified by the use of stock take discrepancy reporting.
  • The software is fully bar code compliant, and barcodes can be printed directly from within ProLib.
  • A built in security systems allow the librarian to secure the data to flash drives, other areas of the network and to the cloud. The backed up data can be restored.
  • All standard labels used in a library can be printed.
  • The software caters for 3 distinct types of user, Librarians, Monitors and Pupils. Within each group the librarian can define what functions a particular user has access to.
  • Photographs of the members can be stored within ProLib. They are automatically displayed whenever an item is issued / returned / extended or reserved.
  • The system caters for member and/or parent contact data to be held if required.
  • Members and/or parents can be contacted via sms, email or letter from within ProLib.
  • Item data can be imported from Excel.
  • Member data can be imported from and exported to the other ProGen software systems ProText (textbooks) and ProEd (administration).
  • The software caters for a separate Music Department library to run in parallel to, but independent of, the Main Library.
  • All training is done at your library.

Ongoing costs after the first year

ProLib Annual Runtime licence with a 10% escalation per annum. The runtime licence entitles your school to unlimited hot line support during school hours and all enhancements to the ProLib software.
